Your trust matters to me, both behind the camera and here on this site. This page explains what information I collect, how it’s used, and the choices you have, written as plainly as I can manage, because privacy shouldn’t require a law degree to understand.

This Privacy Policy applies to visitors and clients of sarahjcabreraphoto.com (“the Site”), owned and operated by Sarah J. Cabrera Photography (“I,” “me,” “my”). By using this Site, you agree to the practices described below.
2. Information I Collect
Information you provide directly:
When you submit an inquiry through my Contact form, I collect the information you choose to share, which may include your name, email address, phone number, service interest, budget range, preferred date, and details about your project or session.
Information collected automatically:
Like most websites, this Site is built on Squarespace, which may automatically collect certain technical information when you visit, including your IP address, browser type, device type, pages viewed, and general location (city/region level). This is gathered through cookies and similar tracking technologies used for basic site analytics and functionality.
Information from third-party services:
If you complete a purchase or order prints through my Pic-Time print store, that transaction is handled directly by Pic-Time under its own privacy policy — I do not directly collect or store your payment information.
3. How I Use Your Information
I use the information collected to:
Respond to your inquiry and discuss your photography session
Prepare quotes, contracts, and session details
Deliver your photo gallery and related services
Improve the Site’s content and user experience
Communicate with you about your booking, and, only with your consent, occasional updates or availability
I do not sell, rent, or trade your personal information to third parties for marketing purposes.
4. Cookies and Analytics
This Site may use cookies — small data files stored on your device — to support basic functionality and understand how visitors use the Site (such as through Squarespace’s built-in analytics). You can control or disable cookies through your browser settings; doing so may affect certain Site features but will not prevent you from browsing or contacting me.
5. Third-Party Services
This Site relies on the following third-party services, each governed by their own privacy policies:
Squarespace (website hosting and built-in analytics)
Pic-Time (print store and photo gallery delivery)
Instagram (social media link/embed, if applicable)

6. How Long I Keep Your Information
I retain client and inquiry information for as long as reasonably necessary to fulfill our working relationship, maintain business records, and comply with any applicable legal or tax obligations. If you’d like your information removed sooner, you can request this at any time (see Section 8).
7. How I Protect Your Information
I take reasonable steps to protect the personal information I collect, including relying on Squarespace’s platform-level security measures. However, no method of transmission or storage over the internet is completely secure, and I cannot guarantee absolute security.
8. Your Rights and Choices
Depending on where you live, you may have the right to:
Request access to the personal information I hold about you
Request correction or deletion of your information
Opt out of any non-essential communications from me
Ask questions about how your information is used

Terms & Conditions

Working together should feel like a conversation, not a contract, but a few things are worth putting in writing, so nothing is left to guess. This page outlines what you can expect when you book a session with me, and what I ask of you in return.
1. Booking & Session Confirmation
A session is considered booked once a signed contract and retainer have been received. Reaching out, receiving a quote, or discussing a potential date does not guarantee availability until both are complete.
2. Retainer & Payment
To reserve your session date, a non-refundable retainer of 50% of your total session fee is required at the time of booking. This holds your date exclusively and allows me to begin preparing with care. The remaining balance of 50% is due on the day of your session, unless otherwise arranged in advance.
Accepted payment methods: Venmo / Zelle
3. Rescheduling & Cancellation
Life happens, and I try to hold space for that with reasonable flexibility.
Client-initiated rescheduling: If you need to reschedule, please notify me at least 1 week before your session. I’ll do my best to accommodate a new date based on mutual availability. Retainers may be applied to a new date within 3 months of the original booking.
Client-initiated cancellation: Retainers are non-refundable in the event of a full cancellation, as they compensate for the time and availability held on your behalf.
Weather-related rescheduling: If weather conditions make an outdoor session unsafe or unworkable, one complimentary reschedule will be offered based on mutual availability, at no additional cost.
Photographer-initiated cancellation: In the rare event I need to cancel (illness, emergency, etc.), I will work with you to reschedule promptly or provide a full refund of the retainer if a new date cannot be arranged.
4. Image Delivery & Turnaround
Edited images are delivered via a private online gallery within the timeframe stated at booking (typically 3 weeks, or 3-4 weeks for film add-ons). Delivery timelines may occasionally shift due to volume or unforeseen circumstances, and I’ll always communicate proactively if that happens.
5. Image Usage & Copyright
I retain copyright to all images created during your session, as is standard photography practice. Upon delivery, clients receive a Personal Use License, granting full rights to print, share, and enjoy their images for personal, non-commercial purposes.
Commercial or brand use of any image — including advertising, promotion, or resale — requires a separate written licensing agreement. A full explanation of personal versus commercial usage rights can be found in the Rights & Usage FAQ on my Pricing page.
I also reserve the right to use images from your session for my own portfolio, website, and marketing purposes, unless you request otherwise in writing prior to or within 30 days of your gallery delivery.
6. Model Release
By booking a session, you grant permission for yourself and any minors in your care to be photographed, and consent to the usage terms outlined above, unless a separate written agreement states otherwise.
7. Liability
While I take great care with your session and all equipment used, I am not liable for circumstances beyond reasonable control — including equipment failure, lost or corrupted files due to unforeseen technical issues, illness, or acts of nature. In such rare cases, I will make every reasonable effort to reschedule, recover, or otherwise make things right.
8. Travel
Sessions outside of Long Island/NYC may incur an additional travel fee based on distance and location, provided as a custom quote prior to booking.
9. Print & Product Orders
Prints, albums, and physical keepsakes ordered through my Pic-Time print store are fulfilled directly by Pic-Time under their own terms and quality standards. I’m not able to guarantee the same color accuracy or longevity for images printed elsewhere.
10. Changes to These Terms
These Terms & Conditions may be updated periodically to reflect changes in my business practices. Continued use of my services after any changes constitutes acceptance of the revised terms.
